No-show (Missed Appointment)

A no-show is when a patient or client fails to attend a booked appointment without giving prior notice. In clinics, aesthetic centers and other appointment-based businesses, the reserved time slot then stays empty, and because the relevant staff member and room were blocked for that hour, they cannot be used. The key difference between a cancellation and a no-show is that with a cancellation the patient informs the clinic in advance, so the freed time can be filled with another appointment.

Tracking no-shows matters because the no-show rate directly affects a clinic's daily capacity use and planning. When recorded consistently, it becomes clear which appointments went to waste, which clients miss frequently, and whether reminder processes need revisiting. For example, if a client does not arrive for a morning follow-up, that slot is marked as a no-show; this way the number of missed appointments and lost time can be summarized at period end. Many clinics use methods such as appointment reminders, confirmation requests and waiting lists to reduce these losses.

  • Cancellation: the patient gives notice, the time can be rescheduled
  • No-show: the patient does not arrive without notice, the time is lost

For clinics that want to follow appointments, reminders and missed-appointment records in one place, Welda Clinic simplifies appointment and calendar management. For aesthetic-specific use, see our aesthetic clinic software page.
