Most aesthetic and physiotherapy clinics don't sell single sessions — they sell packages: a ten-session course of treatment, an eight-session therapy program, an agreed series of applications for a specific area. Selling packages makes sense for both the patient and the clinic — but tracking them is far harder than tracking a single session.
That's because every patient now has a balance: how many sessions they bought, how many remain, and which treatment they had on which date. When that information lives in a notebook or in someone's memory, it eventually gets muddled.
Why paper and memory aren't enough
Tracking one patient's package on a card is easy. With hundreds of active packages, the picture changes. The common problems are:
- Disputes over remaining sessions: The patient says "I had two sessions left," the clinic says "no, you're done." With no written record, this turns into an awkward standoff.
- Giving away extra sessions: A finished package goes unnoticed and one more session is delivered — that's a direct loss of revenue.
- Drop-off tracking: A patient stops halfway through, no one follows up, the package is left unfinished, and both sides lose out.
- Staff turnover: When the person who sold the package isn't the one delivering it, and the record only lives in one person's head, continuity breaks.
