Almost every business starts tracking stock in Excel, and reasonably so: it is free, flexible and everyone knows the basics. A product list, quantities, purchase and sale prices — a workable table comes together and genuinely does the job for a while.
The problem is that as the business grows, the spreadsheet cannot keep up.
When Excel is enough
- The product range is small (a few dozen items) and sales volume is low,
- One person manages the stock,
- Weekly or monthly counts are sufficient rather than intraday accuracy.
At small scale, Excel causes no real trouble.
The 5 points where Excel breaks
1. No real-time view
In Excel, stock is only as accurate as your last update. Stock does not decrease at the moment of sale; it is entered by hand at the end of the day — if not forgotten. The gap between shelf and spreadsheet grows daily.
2. No connection to sales
Sales happen in one place, the stock table lives in another. Every sale must be transferred by hand — double work and double the mistakes.
3. One person at a time
The cashier, the storeroom and the owner cannot update the same file at once. Copies multiply and nobody knows which one is current.
4. Errors spread silently
A number typed into the wrong cell or a broken formula can produce wrong results for weeks unnoticed. Excel will not tell you.
5. Reports take effort
Which product earns how much, what sold on which day — Excel can answer these, but each time it means formulas, filters and table-building. In inventory software these reports are one click.
When to switch to inventory software
If two or three of these are happening at once, it is time: you learn a product ran out when a customer asks; the till and the day's sales do not match; several people need to update the table; the month-end report takes hours.
